the challenge

The buyer wanted one system to replace paper and ad-hoc internal process: document management, an online registry, electronic archiving and configurable workflows, in a sector where data-protection and auditability obligations are strict and externally enforced. It was a formal competitive submission, answered as a conformity matrix against the specification.

objectives

  • Meet hard numbers: three hundred users with editing rights, average page response under three seconds, and full-text search across more than a million documents (scanned ones included) returning in three.

our solution

Access control imports from and synchronises with the organisation's existing directory service, with single sign-on on top. Above that sit a collaborative intranet portal, an online registry, and a workflow engine running configurable, versioned business flows fed by custom forms.

Archiving and document management cover check-in and check-out, metadata views, version comparison, and in-browser create, edit and save back to the server, with contract management and personnel files alongside. An integration module exposes a documented REST API and uses an enterprise integration framework for third-party connectors, with transformation logic in whichever language a connector needs.
Search drove the architecture: an indexing tier over object storage, with optical character recognition on scanned multi-language documents. Delivery is microservices on a container orchestrator with asynchronous messaging, plus penetration testing, static and dynamic source analysis, patch management and a formal compliance assessment.
